Dearest readers,
When it comes to working with people, effective communication plays a crucial role in building a healthy relationship. In a virtual workspace, where communication can be challenging, it becomes even more important to establish a robust feedback system between the client and the virtual assistant.
A healthy feedback system is often overlooked in the virtual workspace due to its unconventional nature. However, just like in a physical workspace, a well-functioning feedback system contributes to organisational growth, trust, and a healthy relationship between the client and the virtual assistant.
To ensure a successful feedback system, both the client and the virtual assistant need to employ the following practices.

Providing Efficient Feedback as a Client
Regular Feedback
Set up a structured feedback system, such as weekly or bi-weekly feedback sessions, to ensure timely and relevant feedback that can lead to improvements in future tasks. Regular feedback keeps the lines of communication open and enables continuous improvement.
Constructive Feedback
Give feedback in a constructive manner. Use the “compliment sandwich” technique, starting with praise for tasks done well, providing areas for improvement, and ending with encouragement and belief in the virtual assistant’s capabilities. This approach helps maintain a positive and motivating atmosphere while addressing areas that require development.
Specific Feedback
Be specific in your feedback to avoid confusion. Vague comments can leave the virtual assistant unsure of what was done well and what needs improvement. Provide clear examples and suggestions for improvement, focusing on specific actions or behaviours. This specificity allows the virtual assistant to understand the areas that require attention and enables targeted growth.
Objective Feedback
Keep personal biases and feelings out of your feedback. Focus on factors that contribute to the organization’s work rather than personal preferences. Feedback should be based on professional standards and goals, helping the virtual assistant understand how their performance aligns with those objectives.
Listen to Your Virtual Assistant
Create an environment where the virtual assistant feels comfortable giving their input on tasks and providing feedback as well. Encourage open communication and active listening. Follow up with your virtual assistant to see how they have implemented changes and managed their work. This two-way communication fosters trust and mutual respect, strengthening the client-employee relationship.
Giving Efficient Feedback as a Virtual Assistant
Be Respectful
Show respect during communication, even in challenging situations. Instead of blaming or pointing fingers, focus on addressing the problem and suggesting alternative approaches. Maintain a professional tone and demeanor, treating feedback as an opportunity for growth rather than a personal attack.
Be Observant
Vigilantly observe the workplace and identify areas that need improvement. Pay attention to the client’s expectations, goals, and preferences. Provide relevant feedback to the client regarding processes, tasks, or any other aspect that could enhance productivity and efficiency. Your observations and insights can contribute to a more effective working relationship.
Be Honest
Be honest in your feedback, avoiding the temptation to cover up or lie. Transparency and integrity are essential in establishing trust with the client. Use constructive techniques to relay your feedback, focusing on specific actions and their impact. Maintain a balance in your feedback to promote growth without going overboard or becoming overly critical.
Ask Questions
Seek clarification when something communicated by the client is not well understood. Asking questions demonstrates your commitment to understanding the task or feedback thoroughly. It also helps avoid assumptions and guesswork that may lead to misunderstandings or errors. Actively engage with the client to ensure clear communication and alignment of expectations.
Implement Feedback
Embrace feedback, even if it’s negative, and demonstrate your willingness to make improvements. Show the client that you value feedback by actively implementing their suggestions and highlighting the changes made.
Both the client and the virtual assistant must contribute to fostering a healthy feedback system to promote the growth and development of the organisation. By following these practices, a strong and productive client-employee relationship can be achieved.
In addition to this, avoid ‘reacting’ to situations. This can lead to verbal abuse and heightened emotions in the workplace, which will not improve communication. Practise level-headedness and proper articulation even in circumstances that may trigger unprofessional actions.
